Executive Assistant / Office Manager

Summary:

 

Brightlink, headquartered in Atlanta, GA, is seeking a full-time experienced Executive Assistant to support the Chairman, CEO and Executive team.

 

Position Responsibilities:

 

This individual will serve as the right hand to the CEO and provide critical administrative support for the entire Executive team and serve as the brand ambassador of the company to both external and internal constituents.  Key responsibilities for this individual include:

  • Maintaining schedules and calendars for the Chairman and CEO.

 

  • Coordinating meetings and travel itineraries for the Executive team.

 

  • Managing expense reports and approvals for Executive team.

 

  • Serving as HR liaison and office manager for the Atlanta HQ.

 

  • Managing key corporate events, activities and projects for the Executive Office.

 

  • Drafting/preparing memorandums, correspondences, agenda materials and other documents of a highly confidential nature.

 

  • Proofreading and checking documents for accuracy, completeness and compliance with Company standards.

 

  • Maintaining and organizing files.

 

  • Acting as key liaison and brand ambassador between executive team and clients, company leadership, staff and the general public.

 

  • Proactively responding to a wide variety of requests with expeditious action and with a positive attitude.

 

  • Performing other administrative duties as assigned, such as preparing and sending shipments of documentation via FedEx, USPS, UPS, etc. and managing supplies

Position Requirements:

 

  • Undergraduate degree required.

 

  • Minimum 5 years of experience providing support to C-level executives.

 

  • Excellent computer skills with advanced knowledge of Word, Excel, PowerPoint.

 

  • Superior communication and organizational skills are essential with strong attention to detail.

 

  • Ability to demonstrate a high degree of diplomacy, professionalism, and confidentiality.

 

  • Strong ownership, project management and organizational skills with focus on results / timelines.

 

  • Experience supporting and working with teams in a dynamic environment.

 

  • Some after-hours availability via email or mobile phone required.
